Judge the workspace by the decision it supports

A digital workspace stores information, but storage is not the final job. The reader usually arrives to decide something: what needs attention, whether a record is complete, who should respond, which version is current or what can happen next.

Start the evaluation with one real item rather than a tour of features. Choose a project, application, client request or recurring process and follow it through the workspace. The question is not whether the system can represent everything. It is whether the structure helps the intended person understand and act without relying on the builder's memory.

Notion's database documentation describes databases as collections of pages with properties that can be searched, filtered and sorted. Notion's database-view documentation explains that the same database content can be presented through multiple views. Those capabilities are useful building blocks. They do not decide which information is authoritative, who owns it or what a status means; the operating design must supply that clarity.

Run the five-question re-entry test

Imagine returning after enough time has passed that you no longer remember the workspace layout. Open the system with one real piece of work and answer five questions in order.

This test is an original evaluation framework, not a validated scientific instrument. Its value is diagnostic: an unanswered question identifies a specific design problem more clearly than a general feeling that the workspace is confusing.

  • Orientation: where is the obvious place to begin for this type of work?
  • Current state: what is true now, and which label or evidence establishes that state?
  • Ownership: who is responsible for the next meaningful movement?
  • Next action: what can happen next, and what condition or date affects it?
  • Provenance: where did the consequential information come from, and when was it checked or changed?

Repair the earliest broken question

The order matters because later questions often depend on earlier ones. A perfect task view cannot help if people enter through the wrong page. A visible next action is unreliable if the current state has no consistent meaning. A clear status still leaves work stranded if nobody owns the transition.

If orientation fails, create one named starting point for the audience and remove competing entry routes from primary navigation. If current state fails, simplify the status model and define what evidence moves a record between states. If ownership fails, assign one accountable owner or a clearly named role.

When next action fails, distinguish actionable work from waiting, reference and completed history. When provenance fails, record the source, decision, date or version needed to verify consequential information.

Fix the smallest earliest failure, then rerun the test. Adding a dashboard before repairing the source problem can produce a more attractive summary of unreliable information.

Use views as interfaces, not new sources of truth

Different people and moments may need different views of the same records. A Today view can surface actionable work, a review view can expose exceptions and a reference view can show the complete meaningful model. This is useful when each view has a named decision and the underlying record remains authoritative.

Avoid copying the same information into several independent databases simply to create different interfaces. Duplication creates a new decision: which copy should be trusted? Where possible, derive focused views from one understood record and keep the route back to that record visible.

Focused views should reduce visual and decision burden, but they cannot replace access rules, ownership or evidence. A filter can decide what appears; it cannot prove that the hidden material is inaccessible or that the visible status is correct.

Test a hypothetical project handoff

Consider a project record marked In progress. The workspace opens on a crowded homepage containing notes, dashboards and several task lists. The returning user cannot tell where active delivery work lives, so orientation fails before the status can help.

A repair might create one Delivery home linked from primary navigation. Inside, a focused view shows the project, accountable owner, current status, next action and meaningful date. Opening the record reveals the decision history and supporting documents. A separate reference view remains available for troubleshooting.

Rerun the test. The user can now find the project, but the next action says Follow up without naming who must respond. Ownership and next action remain unresolved. The second repair clarifies the responsible person and changes the action to a specific, observable step.

The example is hypothetical. It demonstrates how the test reveals problems sequentially rather than proving that one page structure fits every organisation.

Recognise when the system is too small or too complex

A lightweight personal list may not need formal provenance or multiple views for every item. Apply the questions in proportion to the consequence of being wrong. A grocery list and an application deadline do not require the same evidence.

The opposite problem appears when a workspace supports several audiences, sensitive information or regulated decisions. The five questions remain useful but are not sufficient for security, privacy, accessibility, legal or compliance review. Specialist controls and reviewers may be necessary.

The goal is not to make every system elaborate. It is to make the important path legible. A genuinely useful workspace reduces the distance between returning to the system and making a well-informed next decision.
